How to close your Harvest account.

Export your records. Check your replacement. Then make the exit official.

We moved our boutique software studio onto eZacto after receiving a very different renewal quote. If you are leaving too, here is the checklist we want you to have. You do not need to use eZacto—or sign up for anything—to use this guide.

Stop here if your records are not safely exported.

Do not treat an export request, an emailed download link, or a successful import message as your backup. Download the files, open them, and reconcile the records you depend on before giving up access.

1. Take your records with you.

Harvest’s account export tools are under Settings → Import/Export. Administrators can export time data and PDFs of invoices and estimates. Other reports live in their respective sections; available exports depend on your plan and permissions. Harvest’s export instructions.

  • Download time, invoices, estimates, expenses and receipts that your business needs.
  • Keep invoice and payment reports, not just invoice PDFs. Preserve client, project and team records too.
  • Wait for queued exports, download them, and check that the files actually open.
  • Store the archive securely. It can contain employee rates, customer details and invoice amounts; it is not a public migration artifact.

2. Reconcile before you switch off.

Pick a cutover time with your team. Compare date ranges, total hours, invoice totals, payments and outstanding balances with your new system. Check representative records, including older ones. Confirm your team can log in and finish its everyday work. Keep an untouched copy of the export even after migration.

3. Choose when access should end.

Use a web browser. The current help page separates scheduled cancellation from immediate closure; permanent closure requires the Account Owner. Scheduling ends the subscription at the end of its current term. Cancellation does not automatically refund an existing charge. Follow the branch that matches your account. Harvest’s current cancellation instructions.

Ready to close immediately?

  1. As Account Owner, open Settings → Billing → Manage → Close account permanently.
  2. Choose Close my account immediately and review the warning.
  3. Continue through the questions and confirm with Close my account.

If Manage is absent, the help page documents an older route through the billing page’s account-close link. Immediate closure ends access now, even with prepaid time remaining. Harvest states that permanently closed data becomes unrecoverable after ten days; do not rely on that window as your backup. Check the current closure warnings.

Need the rest of your paid term?

Follow the scheduled-cancellation branch instead. Check its displayed end date before confirming. If a pending plan change blocks cancellation, follow Harvest’s instructions or contact support; do not assume the renewal is stopped.

4. Keep proof of the final state.

Save the confirmation screen and email, including the effective date. Recheck billing status rather than assuming an intermediate questionnaire completed cancellation. Review linked services separately: closing Harvest does not also close Forecast. Harvest’s linked-account explanation.

If the screen or outcome differs, contact Harvest support. This guide is not a cancellation request, a refund guarantee, or a substitute for the confirmation in your own account.

Why we went looking for the exit.

Our screenshot shows 14 seats at $17.50 each: $245 a month. The selected Unlimited usage package adds $1,900, bringing the quoted total to $2,145 per month. The visible Flex estimate is $712.50 for usage plus $245 for seats: $957.50 per month. This was our account’s quote for September 11, 2026—not a claim about every Harvest customer.

We believe useful software deserves to be paid for. We also believe a studio should be able to keep its time and invoicing tools without a bill that grows with the value of the invoices it sends. So we built our own, and our team uses it every day.
